Choose the official import route
Freshservice publishes bulk migration APIs for migration partners to import tickets and notes with attachments. Arrange the migration token and destination workspace/user setup before creating dependent records.
Prepare tickets before notes
Create the destination ticket, record its returned ID, then reference that ID when importing notes. The guide requires a migration token in addition to the API key and describes attachment retrieval through URLs accessible to the service. Agree on an approved secure transfer method for sensitive files.
Size batches and check files
The documented limits are 50 tickets or notes per request, 10 requests per minute per account and 40 MB of attachments per entity. A record can succeed while a file fails; reconcile both results.
Review automations before cutover
The guide distinguishes suppressed email events from active workflows, business rules and chat integrations. Review these with the destination administrator. Confirm original timestamps, private-note flags, agent mapping and job results in a pilot before the production transfer.
Validate asynchronous jobs and individual records
The partner bulk-migration guide describes job status and per-record results. Keep job identifiers and destination IDs with the source mapping. Inspect attachment failures even when a parent record succeeds, and allow for search-indexing delay before treating a missing search result as a failed import. Partner-token eligibility, original date/legacy-ID treatment and rollback remain scope questions for the selected service.
