Define the archive’s purpose

Choose the records your service team needs for later client questions and document how long each category should remain available. Assign an owner for access reviews, retention decisions and eventual cleanup.

Keep the complete export set

Store source files, attachments, source IDs, export dates, field definitions and migration exceptions together. Preserve successive document packages when a vendor exports only files added since the previous backup.

Test access after cutover

Before canceling a source subscription, ask a colleague to retrieve an old ticket or invoice and open its related files from the retained copy. Record expiring download links and retrieve the content before they expire.

Review the policy regularly

Separate working migration copies from the approved archive. Review internal-note permissions and customer access. Keep retention terms aligned with your organization’s requirements and the selected storage service.

Use the export checklist, migration plan and deleted record history guide to connect the policy to practical workflows.
